How Hotels Can Automate Multi-Booking Operations with Apaleo and n8n

Multi-bookings are one of the most underestimated operational challenges in hotel operations. At first glance, they seem simple: one guest books several rooms. But operationally, they create a chain of manual tasks that consume front desk time, increase the risk of mistakes, and negatively affect the guest experience. This becomes especially painful for:

  • corporate bookings

The Problem with Multi-Bookings

Let’s take a typical example. A company books 12 rooms under a single reservation contact. Now the hotel needs to:

  • collect guest information for each room
  • identify the primary guest per reservation
  • send check-in instructions
  • collect passport or registration details
  • update the PMS
  • remind guests who haven’t completed registration
  • ensure guest journey emails go to the correct person

Most hotels solve this manually. Usually the workflow looks something like this:

  1. Front desk exports reservation data
  2. Staff manually sends emails
  3. Booker replies with incomplete information
  4. Reception follows up multiple times
  5. Guest details are manually copied into the PMS
  6. Guest journey emails still go to the original booker instead of actual guests

This creates several operational issues:

  • repetitive manual work
  • incomplete guest data
  • inconsistent communication
  • higher risk of human error
  • unnecessary workload before arrival days

The larger the booking, the worse the process becomes.

Our Automation Approach

We designed an automated workflow that removes almost all manual handling from the process while keeping the experience simple for both hotel staff and guests.

The solution combines:

  • Apaleo
  • n8n
  • automated email workflows
  • a custom guest data collection widget embedded directly into the hotel website

Multibooking Process Automation

Step 1 — Automated Multi-Booking Email

When a reservation containing multiple rooms arrives in Apaleo, the automation detects it automatically. Instead of sending multiple separate emails, the system sends a single structured email to the booker. The email contains:

  • reservation overview
  • room list
  • arrival and departure dates
  • occupancy details
  • a personalized action link

This gives the guest a much clearer overview and significantly reduces confusion.

Step 2 — Guest Data Collection via Embedded Widget

The email includes a secure personalized link. When opened, the guest lands directly on the hotel website where a custom embedded widget is displayed. This widget allows the booker to:

  • assign guests to rooms
  • enter guest details

Because the widget is embedded into the hotel website, the experience feels fully native to the property brand. There is no need for:

  • external portals
  • PDF forms
  • downloadable documents
  • manual email exchanges

Step 3 — Automatic Progress Saving

One common issue with group reservations is that guests rarely complete everything in one session. For example:

  • the booker may not yet know all guest names
  • passport details may still be missing
  • guests may need to confirm room assignments internally

To solve this, the system automatically saves progress continuously.

If the user leaves the page before completion, all entered data remains available when they return later. This small feature has a major operational impact because it dramatically increases completion rates.

Step 4 — Automatic Sync with Apaleo

Once the guest submits the form, the automation validates and pushes the information directly into Apaleo. The system automatically updates primary guest data. This removes one of the largest sources of manual administrative work for reception teams. It also improves data consistency across the PMS.

Step 5 — Automated Reminder Workflow

Incomplete registrations are another common issue with multi-bookings. Without automation, hotel staff often need to manually:

  • track missing guest information
  • identify incomplete reservations
  • send follow-up emails

Our workflow automates this completely. If required guest data is still missing a few days before arrival, the system automatically sends reminder emails to the booker. This ensures much higher completion rates before check-in day.

Step 6 — Personalized Guest Journey Communication

One of the biggest communication problems with multi-bookings is that all emails often continue going to the original booker. This creates a poor guest experience because actual travelers may never receive:

  • check-in instructions
  • upsell offers
  • arrival information
  • stay communication.

After guest assignment is completed, our workflow automatically routes guest journey communication to the primary guest of each reservation. This enables much more personalized communication throughout the stay lifecycle.
